Our Privacy Policy
This policy explains what data we, Brighton Sailing Club, collect from you and why. We tell you how we use it, how we keep it safe and how you can access, manage and delete it.

When you and your family become members or show interest in joining our club, you give us your personal information. We collect only what’s necessary and use it for specific purposes – we will always tell you what those are. For UK and European law purposes, Brighton Sailing Club is the data controller.

When we collect your data
There's a number of situations when we will collect your personal data:

when you register your interest in our Learn to Sail programme

when you sign up to join our club, even before you have paid for membership

when you (and/or your family) become members

when you join our committee, board of trustees or volunteer in any other capacity

when you become a trainer on behalf of the club, for example to coach Learn to Sail sessions

when you are invited by a member to participate in a race, sailing event

when you pay for a good (such as merchandise or bar item) online via our Stripe page

We also collect analytics information from your use of our website, however this is not personal data and it cannot be traced back to you.

What type of information we collect
We collect different types of information. For membership enquiries we collect:

whether you are over or under 18 years of age

whether you live in Brighton and Hove

When you become a member we collect, in addition to the above:

your date of birth

your address

your mobile number

your photo

details of training qualifications you hold

details of any large personal equipment you store at the club (boats, kayaks or other)

When you become a member, we may also ask you to share with us, completely at your discretion and optionally:

diversity data such as the gender you self-identify as, your ethnic background, disabilities and/or neurodiversity, sexual orientation, religion, professional background. This information is separate from your membership and is anonymised. That is to say, we do not ask for your name when filling the form nor we ask for any other identifying elements that could link you to your form submission

When you race or participate in training or sailing events, or book our club-owned boats:

your emergency contact's full name and mobile number

your boat's sail number and/or name​

When you make a payment online or a booking for our clubhouse:

your payment details (these are hashed, meaning we cannot see this data, but your details are processed by Stripe for payment purposes)

your booking or purchase details (event type/product/service purchased)
Additional Information we collect about you when you visit our website:

technical information, including the Internet protocol (IP) address used to connect your computer or mobile device to the internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform

information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from our site (including date and time); pages you viewed or searched for; items purchased and the cost of those items including any discounts; page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call our customer service number

real time location data from your mobile device

All of this data remains anonymous to us, and we never process it in any way that it could be linked to you personally.
Why do we collect this information?
We will always explain to you why we are collecting the information at the time we are collecting it, and use it for the sole purpose for which it has been collected.

to provide you with any products or services which you request from us (bar items, merchandise, event entries, training, racing, sailing, clubhouse booking)

to consider your application to join the Brighton Sailing Club through regular membership or the Learn to Sail programme

to notify you of safety information regarding facilities use

to understand how we should improve our services, facilities and events

to understand our club's demographics to ensure we are always encouraging an inclusive and diverse membership

When it is in our legitimate interests, and our interests are not overridden by your own interests. For members, this means:

to notify you of the club's ongoing sailing activities, social events, training opportunities, volunteering opportunities and offerings (merchandise or programmes)

to keep you informed of the running of the club

to notify you of your member duties

to remind you of member responsibilities

For non-members, this means:

to let you know about a new sailing season (only when you have registered your interest)

to let you know about new products or services (new Learn to Sail programmes, new sailing programmes, new opportunities to join the club)

to ask for your feedback

When we have obtained your consent to do so:

when you have opted in to receive email newsletters and other marketing materials

When do we share your information
We may also disclose your personal information to third parties:

if we are under a duty to disclose or share your personal information in order to comply with any legal or regulatory obligation, or in order to enforce or apply any contract or terms in force between you and us; or to protect the rights, property, or safety of Brighton Sailing Club. This includes exchanging information with other companies and organisations for the purposes of security, law enforcement, fraud protection and credit risk reduction

when we are carrying out advertising or marketing we may use photos and quotes only if we have obtained your permission to do so. In the case of photography we will always obtain and file a release from everyone in the photo. A release is a special contract where you give us permission to use your photo for marketing purposes

we share the name and email of the member or non-member making a purchase with Stripe, Inc. (our payments processing provider) so that payments can be identified on our club's Stripe dashboard. You can view the Stripe privacy policy here. We do not store or see your payment details

How long do we keep your data?​
We may keep and process your personal information for as long as necessary to fulfil the purposes we collected it for, or for as long it is necessary to do so for legal reasons.

non-members: we delete all your data 1 year after you registered your interest if you still have not joined the club; or after establishing you no longer wish to join the club; or after you tell us you no longer wish to be kept informed. You can always ask us to disclose any information we hold about you and/or to delete it

members: we delete your data 1 month after your membership expires

Where we keep your data
Your information may be held on secure servers on Google Cloud or on the servers of one of our data processing partners.
We keep members' personal data centrally in MemberMojo, a paid member database. We use MemberMojo to track of memberships and member details. From time to time we use other cloud-based services to process your information for core services. We use Dutyman to assign duties and responsibilities to members. We use Google Cloud to collect prospective member emails, organise club-owned boat hire and other social events. We use Whatsapp for social conversation and to organise sailing. We use Wix (our website provider) to let prospective members contact us via forms; and Stripe to process bookings and payments for membership and ancillary items (venue booking, merchandise, event ticketing).

All our processing partners, except for DutyMan, are ISO27001 certified:

WhatsApp is SOC2 certified. It uses end-to-end encryption with Signal protocol Curve25519/AES-256/HMAC-SHA256

Your Rights
have the following rights in relation to the personal information we hold about you:

Terms & Conditions
Storage of Sailboats
All storage is offered only on an annual basis, subject to the terms and conditions set out below.

I acknowledge that storage is offered by the Clubs on their premises as a service to members, and no responsibility is taken by the Clubs for any stored property.

I acknowledge that storage is only offered to sailboats that participate in Club sailing and that my sailboat(s) must participate in at least one Club race per year.
-
I must maintain my membership, and pay all appropriate membership and storage fees, while I am storing any sailboats on Club premises; further, if I do not renew my membership, I agree to promptly remove my property from Club premises.

I will have suitable third-party insurance for my sailboat(s) while they are stored on Club premises, covering them while in storage and in use. I will provide the details of the insurance to the club and keep my insurance up to date.

I will take down my mast by the deadline given by the Club in winter each year otherwise I will pay a mast removal free of £50
-
If I buy or sell a boat, I must inform the Clubs of any change in ownership; further, I will not store any new sailboats without first seeking permission from the Clubs.

If I fail to adhere to these conditions, I acknowledge that my sailboat(s) may be acquired, or disposed of, by the Clubs.
Storage of Kayaks & Other Large Watersports Equipment
All storage is offered only on an annual basis, subject to the terms and conditions set out below.

I acknowledge that storage is offered by the Clubs on their premises as a service to members, and no responsibility is taken by the Clubs for any stored property.

I must maintain my membership, and pay all appropriate membership and storage fees, while I am storing any kayaks or other large watersports equipment on Club premises; further, if I do not renew my membership, I agree to promptly remove my property from Club premises.

I will not store any new kayaks or other large watersports equipment without first seeking permission from the Clubs.
-
If I fail to adhere to these conditions, I acknowledge that my property may be acquired, or disposed of, by the Clubs.
Limitation of Club Liability
All references to the Club in this Rule shall mean each and every individual member of the Club from time to time. Members are bound by the following Rule:
Members of the Club may use the Club premises, and any other facilities of the Club, entirely at their own risk and impliedly accept:

(a) The Club will not accept any liability for any damage to or loss of property belonging to members
​
(b) The Club will not accept any liability of personal injury arising out of the use of the Club premises, any other facilities of the Club either sustained by members or caused by the said members whether or not such damage or injury could have been attributed to or was occasioned by the neglect, default or negligence of any of them, the Officers, Committee, Trustees or volunteers of the Club.

(c) members are responsible for any injury, damage or loss to the extent caused by their own actions or omissions.

Abiding by Club Rules
​
I agree to abide by the rules of the club, as set out in the Constitution and the Sailing Instructions, and as decided by the Committee. I agree to processing and storing of my data only for the purposes outlined in the Member Terms and Data Privacy Policy. If I am including family members, I confirm that they have agreed to abide by the rules of the Club and have their consent for their data processing and storage.

The Spirit of the Club
​
Brighton Sailing Club aims to encourage members of the community to take part in sailing. We're run by our members and are not service providers. We use the fees to fund the running of the club, but your involvement and sharing of club duties is an even greater contribution. All club members are therefore expected to carry out a minimum of 2 race duties and 2 bar duties per season. In addition, members are expected to volunteer and help with club duties not limited to maintenance, running the club, organising sailing, tidying up, and other duties which may arise from time to time.
